Privacy Policy
Last Updated: 03 Sep, 2026
At Soft Kavach, we take your privacy seriously. This policy explains what information we collect, how we use it, and what rights you have over your data when you use our website, software, SaaS products, APIs, or any other service we offer. We currently serve customers only within India, and this policy is written to align with India's Digital Personal Data Protection Act, 2023, the IT Act, 2000, and the related IT Rules, 2011.
By using our services, you're agreeing to the practices described here.
What We Collect
Depending on how you use our services, we may collect:
- Personal details — your name, company name, email, mobile number, billing address, GST details (if applicable), and other business information you share with us.
- Account information — your username, encrypted password, login history, and account preferences.
- Payment information — payments go through trusted third-party payment gateways. We don't store your full card or banking details on our own servers.
- Technical details — things like your IP address, browser, device type, operating system, time zone, and access logs.
- Usage information — which features you use, how you use our dashboard, API requests, error logs, and general performance data.
How We Use This Information
We use your data to run and improve our services — things like setting up and managing your account, providing support, billing you correctly, improving our product, keeping things secure, meeting legal obligations, and letting you know about important updates. If you've opted in, we may also send you promotional emails.
Your Consent and Choices
By using our services, you're giving us consent to process your data as described here. You can withdraw that consent anytime by writing to our Grievance Officer — though this may mean we can no longer offer you certain services. If you get marketing emails from us and want to stop, just click "unsubscribe" or email us at support@softkavach.in.
Cookies
We use cookies to keep the website running smoothly — remembering your preferences, keeping you logged in, understanding how people use our site, and improving security. You can turn off cookies through your browser, though some features might not work as well.
Who We Share Information With
We don't sell, rent, or trade your personal information. We only share it with people who need it to help us run the business — payment gateways, cloud hosting providers, email services, government authorities when legally required, and our legal or audit advisors. Anyone we work with is expected to keep your data confidential and use it only for the purpose we shared it for.
How We Protect Your Data
We use standard security practices — SSL encryption, secure servers, encrypted password storage, access controls, firewalls, activity monitoring, regular updates, and backups. That said, no system connected to the internet is ever 100% secure, and we can't guarantee perfect protection.
If a data breach happens that's likely to affect you, we'll notify the Data Protection Board of India and affected users as required under the DPDP Act, and we'll take steps to limit the damage as quickly as we can.
How Long We Keep Your Data
We retain your personal data only for as long as reasonably necessary to provide and maintain our services, fulfill the purposes for which the data was collected, comply with applicable legal, tax, accounting, regulatory, and security requirements, resolve disputes, and enforce our agreements.
The retention period may vary depending on the type and nature of the information:
- Account and Profile Information: We generally retain your account and profile information for as long as your account remains active and for a reasonable period after account closure to complete necessary administrative, contractual, or legal obligations.
- Payment, Transaction, Invoice, and Billing Information: Financial and transaction records may be retained for the period required under applicable tax, accounting, financial, regulatory, or other legal requirements.
- Technical, Security, and Access Logs: IP addresses, login records, device information, API logs, error logs, and other technical information may be retained for a limited period as reasonably necessary for security, fraud prevention, troubleshooting, auditing, service improvement, and maintaining the reliability of our services.
- Customer Support and Communication Records: Records of communications with you may be retained for as long as reasonably necessary to provide support, maintain appropriate business records, resolve complaints or disputes, and comply with applicable legal obligations.
- Marketing and Communication Preferences: Information relating to your marketing preferences, consent, or withdrawal of consent may be retained for as long as reasonably necessary to respect your choices and maintain appropriate records.
When personal data is no longer required for the purpose for which it was collected, and there is no applicable legal, regulatory, contractual, security, or documented business purpose requiring its retention, we will take reasonable steps to delete, securely dispose of, or anonymize such data, as appropriate.
If you request deletion of your personal data, we will process the request in accordance with applicable law. However, certain information may need to be retained where required by law, regulation, taxation or accounting requirements, for security purposes, or where necessary for the establishment, exercise, or defense of legal claims.
After the applicable retention period expires, we will take reasonable steps to securely delete, destroy, or anonymize the retained information in accordance with our internal data retention and security practices.
Your Rights
Under the DPDP Act, you have the right to access your data, correct anything inaccurate, update your account, ask us to delete eligible data, withdraw consent, request a copy of your information, and even nominate someone to act on your behalf if something happens to you. You can also file a complaint with our Grievance Officer, and if that doesn't resolve things, with the Data Protection Board of India. We aim to respond to any request within 30 days.
If you want your account deleted, just email support@softkavach.in with the subject "Account Deletion Request." We'll confirm and complete the deletion within 30 days, except for records we're legally required to keep (like invoices).

Third-Party Services
