Refund Policy

Last Updated: 03 Sep, 2026

At Soft Kavach, we try to keep things fair and transparent when it comes to payments, subscriptions, and project work. This policy lays out how refunds and cancellations are handled across our SaaS subscriptions, one-time software purchases, and custom development projects. Please read this along with our Terms & Conditions before making a purchase.

Custom Development Projects

Development work is a bit different from a subscription, so it's handled on its own terms.

Most projects start with an advance payment, as agreed upon in the proposal or quotation we send you. This helps us block time and resources for your project.

If you decide to cancel before we've started any actual work, we'll refund your advance — minus whatever we've already spent on your behalf, like domain names, hosting, or any third-party tools/licenses bought for the project.

Once work has actually begun, though, refunds only apply to the part of the project we haven't touched yet. Projects are usually broken into milestones (design, development, testing, deployment, etc.), and what gets refunded — if anything — depends on how much of that milestone plan was already delivered. Depending on how far along things are, a cancellation fee may also apply to cover the resources already committed.

One more thing worth mentioning: ownership of the code, designs, and other project deliverables passes to you only once full and final payment has been made. If a project is cancelled midway or payment isn't completed, the work delivered so far remains ours.

What We Don't Refund

A few things are non-refundable no matter the situation:

  • Development work that's already been started
  • Domain, hosting, or third-party software/license costs paid on your behalf
  • Training or consultancy sessions that have already taken place
  • Any milestone or portion of work already delivered as per the project schedule
  • Payment gateway or bank charges on the original transaction

When a Refund Might Apply

We'll consider a refund if:

  • You were charged twice by mistake due to a technical or gateway error
  • Payment went through but the service was never activated or delivered
  • Something we delivered turned out to be genuinely broken because of an error on our end, and we couldn't fix it within a reasonable time after you flagged it
  • There was a clear case of overpayment

That said, every refund request is looked at individually, and the final call rests with us based on the points above.

Partial Refunds

If part of a project or service was delivered properly but the rest wasn't, we may issue a partial refund based on how much work was actually completed against the agreed milestones.

How to Request a Refund

Send an email to support@softkavach.in with the subject line "Refund Request," along with your invoice details and a short note on why you're asking for one. We'll get back to you with a decision within 7–14 business days. If it's approved, the amount is sent back to your original payment method within 10–15 business days — the exact timing after that depends on your bank or payment provider.

Failed or Pending Payments

Sometimes money gets deducted but the transaction shows as failed or pending on your end. In most cases, this reverses automatically within about 7 business days. If it doesn't, write to us with your transaction details and we'll help sort it out.

A Few Limitations

We can't offer refunds simply because you changed your mind, or because of delays that were on your end rather than ours. We also reserve the right to decline requests that don't fit the criteria above, and any decision we make on a refund is final.

How Refunds Are Paid Out

Refunds always go back to the same payment method you originally used — we don't do cash refunds or send money to a different account.

If There's a Dispute

If a refund disagreement can't be sorted out directly between us, it'll be handled as per the governing law and jurisdiction clause in our Terms & Conditions.

Changes to This Policy

We may update this policy from time to time. Whenever we do, the "Last Updated" date at the top will change. If you keep using our services after an update, that means you're okay with the revised policy.
